1. Who we are

This Privacy Policy explains how your personal data is collected and used in connection with Euromeeting 2027, an event held on 21–23 May 2027 in Kajaani, Finland, including the optional pretour on 20 May 2027.

We process personal data in accordance with the EU General Data Protection Regulation (GDPR) and applicable Finnish data protection law.

2. What data we collect

We collect only the information needed to register you for the event and run it well:

  • Registration details — your name, email address and phone number.
  • Booking details — the ticket or pretour you select and any options you choose.
  • Practical information you choose to share — for example dietary requirements or accessibility needs.
  • Payment information — handled directly by our payment processor, Stripe. We do not see or store your full card number.
  • Correspondence — messages you send us by email or phone.

3. How we use your data

  • To process your registration and payment and send you confirmation.
  • To communicate practical information about the programme, travel, the pretour and any changes.
  • To cater for dietary or accessibility needs you have told us about.
  • To keep records required for accounting and tax purposes.

4. Legal basis for processing

We rely on the following legal bases under the GDPR:

  • Performance of a contract — to deliver the event you have registered and paid for.
  • Consent — for optional details such as dietary or accessibility information. You may withdraw consent at any time.
  • Legitimate interests — to organise and improve the event and keep attendees informed.
  • Legal obligation — to retain financial records as required by law.

5. Payments

Payments are processed securely by Stripe. When you register, your card details are entered on Stripe's checkout and handled under Stripe's own terms and privacy policy. We receive confirmation of payment and limited transaction details, but never your full card number.

6. Who we share data with

We do not sell your personal data. We share it only where necessary to run the event, including with:

  • Stripe, to process your payment.
  • Venue, catering and transport providers, where needed to deliver the programme, pretour and pick-up — limited to what is necessary (for example a dietary requirement or pick-up detail).
  • Authorities, where we are legally required to do so.

7. How long we keep it

We keep your registration data for as long as needed to organise the event and to handle any follow-up afterwards. Financial records are retained for the period required by Finnish accounting law. After that, your data is deleted or anonymised.

8. Your rights

Under the GDPR you have the right to:

  • access the personal data we hold about you;
  • have inaccurate data corrected;
  • have your data erased where there is no legal reason to keep it;
  • restrict or object to certain processing;
  • receive your data in a portable format;
  • withdraw consent at any time.

9. Cookies and this website

This website does not use tracking or advertising cookies. It loads fonts from Google Fonts, which may receive your IP address as part of serving those files. No analytics or marketing profiles are built from your visit.

10. Changes to this policy

We may update this policy if the event or our processing changes. The current version is always published on this page with the date it was last updated.
